Privacy Policy

1. Who we are

WoFMate is operated by Michael Reece, trading as WoFMate ("WoFMate", "we", "us"), based in New Zealand. This policy explains how we handle personal information under the Privacy Act 2020.

2. What we collect

Account information: names, email addresses, and role details for the people in your organisation who use the platform.

Inspection records: information entered during inspections, which can include inspector identity, vehicle details, and inspection outcomes. These records are created by and for the inspection organisation.

Contact information you send us — for example demo or trial requests by email.

Basic technical information needed to operate and secure the Service, such as access logs.

3. How we use it

To provide and secure the Service, to support your organisation's regulatory record-keeping, to respond to enquiries, and to send service communications. We do not sell personal information.

4. Vehicle data

Vehicle details used to start an inspection may be retrieved from third-party sources. Data supplied by CarJam – carjam.co.nz.

5. Where information is stored

Information is stored with Amazon Web Services in the Asia Pacific (Sydney) region, Australia, under industry-standard security controls. By using the Service you authorise this offshore storage; the protections applied are comparable to those required under New Zealand law.

6. Who we share it with

Regulators: inspection records can be made available to authorised regulators (for example, NZTA auditors) at your organisation's direction or where required by law.

Service providers: we use infrastructure and email providers (such as AWS) to operate the Service; they process information only to provide those services to us.

7. Retention

Inspection records are retained in line with the regulatory retention requirements that apply to inspection organisations. Account information is retained while your account is active and for a reasonable period afterwards.

8. Security

We apply least-privilege access controls, encryption in transit and at rest, automatic locking of completed inspection records, and continuous audit logging.

9. Your rights

You may request access to, or correction of, personal information we hold about you by emailing support@wofmate.co.nz. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner (privacy.org.nz).

10. Cookies and analytics

The platform (the signed-in application) uses only the cookies strictly necessary to keep you signed in securely.

Our marketing website (www.wofmate.co.nz) uses Google Analytics 4 (GA4), a service provided by Google, to understand how visitors find and use the site so we can improve it. GA4 uses cookies to collect usage information such as the pages you view, the source that referred you, approximate (city-level) location, and your device and browser type.

We do not load Google Analytics or set any analytics cookies until you accept them via the cookie banner shown on your first visit. If you decline, no analytics cookies are set and Google Analytics is not loaded. You can change your choice at any time by clearing this site's cookies in your browser, which will show the banner again.

Information collected through GA4 is processed by Google on our behalf and is governed by Google's privacy policy at policies.google.com/privacy. We do not use it to identify individual visitors, and we do not sell it.

11. Changes

We may update this policy from time to time; material changes will be notified through the Service or by email.
